- Communication and service records: correspondence, quotations, booking details, supplier coordination and information required to plan and deliver an event.
- Technical and usage information: device, browser, approximate location, pages visited, referral source and interaction information, where you have consented to analytics.
- Security information: server logs and technical records used to protect the website, prevent abuse and investigate faults.
Why we use information
- To respond to an enquiry and take steps requested before a contract.
- To prepare, administer and deliver a booking or other contract.
- To meet legal, accounting, insurance and regulatory obligations.
- To operate, secure and improve the website where our legitimate interests do not override your rights.

Who may receive information?

Recipients may include our event team, the venue and selected event suppliers where coordination is required; Planning Beats, which provides the enquiry form and event-planning system; Google, where you consent to Analytics or choose to load an embedded map; GoDaddy and WordPress service providers; Cloudflare for delivery and security; and professional advisers, insurers, payment providers or public authorities where required.
Some providers may process information outside the United Kingdom. Where this happens, we require an appropriate transfer mechanism or other lawful safeguard.
How long we keep information
We keep information only for as long as it is needed for the purpose described above. The period depends on whether an enquiry becomes a booking, the length of the customer relationship, legal and accounting requirements, possible claims, security needs and the settings of the services used. Unsuccessful enquiries are reviewed and removed when they are no longer useful for responding or legitimate follow-up. Booking and financial records may need to be retained for the applicable legal period.
